Document scanning

Photograph the bill. Keep the figures.

SimplCRM reads a vendor bill or an invoice — the party, the GSTIN, the taxable value, the GST split and the total — into a draft you check and post. The typing is the part it removes.

  • Reads GST documents
  • A draft you review
  • Original kept on the entry
In short

SimplCRM’s document scanning turns a photographed or uploaded bill into a draft accounting entry: it extracts the party and its GSTIN, the taxable value, the CGST/SGST or IGST split and the total, and presents them beside the original for you to check. Nothing posts until you confirm, the file stays attached to the entry it produced, and the fields it looks for are the ones on an Indian tax document.

From a photo to a draft entry

The figures it read, on the phone, ready to correct before anything posts.

  • Extract

    The fields, not the picture

It pulls the party, the GSTIN, the taxable value, the tax split and the total off the document, so a bill becomes structured figures rather than an image in a folder.

  • Review first

A draft, never a silent post

What it read sits beside the original for you to correct. A misread 8 for a 3 is caught on the review screen, before it is an entry someone has to reverse.

  • Kept together

    The original stays attached

The photograph or PDF stays on the entry it produced, which is exactly what a GST scrutiny or an auditor asks to see next to the number.

The practical questions

What kinds of document does it handle?

The paperwork a business receives and issues — vendor bills, purchase invoices, receipts — where there is a party, a tax registration and a set of totals to lift. It is aimed at the documents that otherwise get typed into the books one line at a time, because that is where the time and the transcription errors both go.

How accurate is it, and who checks?

Accurate enough to save the typing, not so trusted that it posts blind. Every extraction is a draft with the document shown beside it, and a person confirms before it becomes a ledger entry. The design assumption is that reading is faster than typing but a human still signs off — which is the right assumption for anything that touches the books.

Where do the files actually live?

In storage the workspace owns, configured in Settings with your own credentials, rather than somewhere you cannot point at. The original is attached to the entry, so the audit trail is the entry and its source document together, not a number whose backup is in somebody’s email.

FAQ

Questions people ask

What does document scanning do?

You upload or photograph a document — a vendor bill, an invoice, a receipt — and SimplCRM extracts the fields that matter: the party, its GSTIN, the taxable value, the GST split and the total. Those become a draft entry you review on screen and post, instead of typing the bill in by hand.

Do I have to trust what it read?

No. Extraction produces a draft, never a posted entry. The review screen shows the figures it read beside the document, you correct anything that is wrong, and only then does it post to the ledger — so a misread digit is caught before it becomes an accounting entry.

Where are the documents stored?

In the workspace’s own document storage, whose credentials are set in Settings, so the files live where you decide. The original stays attached to the entry it produced, which is what an audit or a GST scrutiny actually asks to see.

Does it understand Indian tax documents?

It is built for them: a GSTIN, an HSN or SAC code, a CGST/SGST or IGST split and the taxable-versus-total distinction are the fields it looks for, because those are the fields on the bills an Indian business receives.
